Follow this step-by-step guide to configure your MTR devices for digital signage.
Prerequisites
-
Microsoft Teams Rooms Requirements:
- MTR devices running Windows version 5.1 or later. We also recommend ensuring that your device is on the Microsoft Teams Rooms certified hardware list
- Teams Rooms Pro license assigned to the resource accounts signed in to your MTR devices.
- Access to the Teams Rooms Pro Management portal for device configuration and management.
-
Comeen Requirements:
- An active Comeen account with access to space settings and necessary permissions to manage screens and playlist content.
Step 1: Add Comeen as a Signage Source
1. First, navigate to the Comeen settings page.
2.A. (Optional) You can automatically add the Microsoft Teams Rooms display created in Comeen to a screen group by enabling the "Automatically associate with a display group" toggle and selecting the group.
If you don’t have a screen group created yet, please refer to this documentation article
2.B. Click on "Generate URL", then click "Copy"
3. Login to the Teams Rooms Pro Management Portal with your administrator credentials.
4. Go to Settings > Digital Signage and toggle the Digital Signage option to On.
5. In the Teams Rooms Pro Management portal, under Settings > Digital Signage, click on Add Source.
6. Enter a name and description for the signage source (e.g., "Comeen"), then click "Next"
7. Select Custom as the signage source type and paste the Association URL obtained from Comeen in step 2.B.
8. Save the configuration.
Step 2: Assign Signage Source to MTR Devices
- In the Teams Rooms Pro Management portal, navigate to Settings > Digital Signage > Assign to Rooms.
- Choose the Comeen signage source from the list.
- Configure additional settings, such as:
- The duration of device inactivity before switching to Comeen.
- The time before a meeting starts to deactivate Comeen.
- Whether to display the Teams Rooms banner showing room information alongside your signage content. If enabled, avoid placing text or images within the top 15% of the screen height to prevent them from being obstructed by the banner.
- Whether to allow the screen to time out when idle.
- Choose the rooms where you want to use Comeen
- Select a schedule, review and submit your modifications
Step 3: Identify Your Displays and Manage Content in Comeen
In your Comeen space, you should see your MTR devices listed as soon as they have started Comeen for the first time. MTR devices will only appear as connected when Comeen is active, meaning the device is not in a meeting and is broadcasting content.
⚠️ Please note: Microsoft Teams Rooms added devices will initially display generic or random names, as shown in the screenshot below.
To identify and rename your devices, please follow these steps:
1. Stand in front of your Microsoft Teams Rooms device and restart it. When the Comeen app loads, you should see your device identifier displayed in the bottom-left corner. Consider filming the loading process or taking a picture to ensure you can reference it later.
2. In Comeen, navigate to the Displays page and click the Edit button next to the display with the corresponding identifier
3. Enter a new name for the display, then click Save.
4. Once your devices are listed, identified, and renamed, you will need to create a playlist and assign it to your displays
Adding New Devices Post-Setup
Once the initial setup is complete and the custom signage source is created, you can easily assign this source to new Microsoft Teams Rooms (MTR) devices to configure them for digital signage. Follow these steps in the Teams Rooms Pro Management Portal:
Please note that this step will not affect any existing or already configured MTR devices on Comeen.
-
Login to the Teams Rooms Pro Management Portal with your administrator credentials.
-
Navigate to the Rooms page.
3. From the list of rooms, click on the desired room to open its details.
4. Within the room details, click on the Settings tab.
5. In the settings, locate the Digital Signage Source option, and select the custom source you previously created (e.g. "Comeen") from the dropdown menu.
6. Save and apply changes
The new MTR device assigned to this room will now use Comeen as the digital signage source. You should see your new device listed as soon as it has started Comeen for the first time.
By following these steps, you can effectively utilize your Microsoft Teams Rooms devices as dynamic digital signage screens with Comeen, enhancing communication and engagement within your organization.
