My Comeen user guide

Comeen Workplace offers an immersive experience directly accessible from a web page.

My Comeen is simple to use and to deploy, while it offers many relevant features as an office attendance tool.

Getting started

Once your company deploys our application, you're able to use it via a unique interface accessible at this URL address https://my.comeen.io/

My Comeen can also be reached from our Google Workspace add-on and from our Slack application.

Set your working location

🏢 At the office

From our application, plan your days of attendance this week and enjoy all the features coming with it!
This feature is available if your company uses our office attendance solution.

  • Plan a day at the office

From the Home page click on Update planning

Define the duration of your reservation by clicking on either All day, Morning, or Afternoon.

Select your work activity At the office and click on it

Select the location where you want to make your reservation then click on Book

Once done, you'll see a confirmation message and your new reservation

Get a desk with specific equipment (double monitor, mouse & keyboard, etc)

When booking a desk, you can select options to get a desk that corresponds to your needs.

Click on the wanted equipment(s) then click on Book.

You get a confirmation message and a seat corresponding to your needs.

  • Book a desk from plan / Multiple reservations / Seat next to someone / ...

Book a desk either automatically or via an interactive floor-plan

If desk booking is activated, people can choose between 2 options : a desk automatically attributed or a desk picked from an interactive map.

From the Home page, click on Update planning or Book from map

If you click on Book from map, this opens the floor-plan.

You can click on one of the green circles to book the associated desk.
You can also filter the floor-plan by using the menus on the left and at the bottom.
The left menu permits you to select the location (building, floor and area), the date of the reservation and the duration.
The bottom menu permits to display or to hide the areas, free desks and booked desks.

After clicking on the wanted desk, click on the booking button.

You will then see the booked desk assigned to you.

Make multiple reservations in a row

When creating a reservation, you have a Multiple option at the top right on which you can click

Once activated, click on each day you want to make a reservation for

Once done, click on the wanted work activity

Select the location for multiple reservations and click on Book

Seat next to your colleague

When planning a day at the office, you can see on the right a section named "Next to someone". You can click on the search bar below to book your desk next to a specific colleague.

Type your colleague's name and click on the wanted person.

Once your colleague is selected, click on Book.

You get a confirmation message and a seat next to your colleague.

  • Book additional options "office extras" (parking lot, lunch, etc)

When booking a desk, in addition to the desk equipment, you can select office extras that correspond to your needs.

Click on the wanted office extra(s) then click on Book.

Once added to your reservation, you will see your office extra(s) below your presence and desk.

⛔️ Out of office

Inform your colleagues and administration that you're not working on this day

To do so, from the Home page, click on Update planning.

Then select the day, the duration and then click on the status Out of office.

You get a confirmation message that your status has changed.

🏠 Remote Work

Inform your colleagues and administration that you're working from home this day

To do so, from the Home page, click on Update planning.

Then select the day, the duration and then click on the status Remote.

You get a confirmation message that your status has changed.

🗺️Other

Inform your colleagues and administration that you're working from another place than the office or home (at customers', at an event, etc)

To do so, from the Home page, click on Update planning.

Then select the day, the duration and then click on the status Other.

You get a confirmation message that your status has changed.

Improve your reservation experience

  • Confirm your reservation of the day

Once your reservation is done, you can click on the Home tab and then on the Check-in button below your reservation to confirm it.

Once your reservation is confirmed, the check-in button turns to check-out.

If you click on the check-out button, this will result in releasing your desk.

  • Consult and edit your schedule

Click on Team planning to see your reservations for the next few days.
Click on the arrows to switch the viewed week.
In your own schedule, you can see what you planned for the week. If you over-mouse a reservation at the office this will show you its details.
You can also change the status or reservation by clicking on one of the days. This will take you to the reservation process.

  • Locate your desk on a floor-plan

After booking a desk, you can locate it on the floor-plan by clicking on Locate below the map on your right.

The map will automatically adjust to show your desk at the middle.

Teammates information

Comeen Workplace allows you to add your colleagues to see if they are on-site or remote on the date you're interested in, and even to book reservations for them.

  • Edit your teammates list to see the information of the colleagues that matter to you.

Selecting the people you usually work with or that you get along with permits you to see their schedules and to adapt your program according to theirs.

You can edit your teammates' list at any time. To do so, click on Settings at the bottom left of the page, then start adding your teammates by typing their name or mail address.

Enter the email of your teammate (proposals are listed as soon as you start typing):

Click on the wanted teammate. Do this for as many people as you need.

  • Consult your colleagues' program for the next few days

Click on Team planning to see your reservations and those of your colleagues for the next few days.
Click on the arrows to switch the viewed week.
Click on Look for another employee schedule to consult a colleague's schedule that doesn't belong to your teammates list.

  • Locate your colleagues desks

From the Home page, you can see a section called My teammates at the office today, click on one of the map icons to see where a colleague is seated.

This will result in showing you this colleague's seat on the map on the right of the screen.

  • Book a desk for a teammate

From the tab My team, you can create reservations for your teammates.
To do so click on the button Team booking

This takes you to this page

Select the date, duration and location for this reservation. Then choose between Find a desk for me and Pick a desk.

If you pick Find a desk for me you will just have to select the people concerned by this reservation then to click on Book. You can add as many as you want and even include yourself to the reservation.

You will get a confirmation message on My Comeen.

And the users get one on the chat application they use.

If you select Pick a desk you can select for each person the desk that will be assigned to them.

To do so, click on one of the desk

Then click on the person to assign the desk to

Manager attributes

The manager attributes available in My Comeen are only accessible by the users equipped with the role Manager in the Comeen Workplace administration dashboard.


  • Team booking for managers

If you are equipped with the role Manager, when you get in My Comeen and in the section My Team, you will see more options than a standard user.

The option Set up my team allows you to create or edit your team members list (subordinates).

After clicking on Set up my team you can add or withdraw people to/from your team.

Manage office presences permits you to create or modify reservations for your team members on specific dates and locations.

You can either move or cancel your team members' reservation(s) after selecting them and the location.

  • Insights

As a manager, you have the capacity to get insights of your team members data (users that are linked to you as subordinates).
You can find the Insights in the section My team if you have the role Manager activated.

Click on the button Insights" and access the presences information.

Here you can have a detailed view of the presence booking. Thus, you can understand the general behavior of your users.
This is also where you can get a precise glance for the members of your team.

Finally, you can analyse your reports information on different time frame:

Settings

  • Favorite location and recurring presences

Save time by setting-up your default location and recurring presences from the section My office.

No need to plan your presence in the office every week if you set up these settings. Your reservations will be created automatically for the next 14 days according to your choices . This will be renewed automatically.

For the favorite location select the building, floor and area and click on "Save".
For the recurring presences, select the days concerned and click on Save.

  • Integrations

In the Settings, you will find an Integrations section that permits you to enable certain features on an individual level.

  • Notifications

Select the notifications channels you want Comeen Workplace to use when notifying you. This requires to use one of the associated suites.

They will be used to notify you of the arrival of a visitor, to remind you to check in when you arrive at the office or as an alert for a booked meeting room.

In the Settings, you will find a Notifications section. Select the notifications way that suits your needs.
