Managing meeting rooms efficiently is crucial for a smooth workplace experience. One of the biggest challenges is preventing "ghost meetings"—reservations that go unused, leaving valuable space idle.
Comeen helps optimize your meeting rooms by introducing a smart check-in, check-out, and release workflow. In addition to existing check-in options, we now offer a seamless, automatic check-in solution using Google Meet hardware. This ensures that meeting rooms are occupied as scheduled without requiring manual intervention.
Comeen provides multiple ways to check into a meeting room to ensure no reservation is forgotten:
Google Chat: Users can check in directly from the notification.
Slack notification: Users can check in directly from the notification.
Room reservation tablet: Users can confirm their meeting directly from the room’s tablet.
QR code: Users scan a QR code to check in upon arrival.
Automatic check-in using your Google Meet hardware provides a new, more convenient way to confirm room usage. As soon as the user joins the meeting, the room will be automatically checked in, and they will receive one of the following notifications:
You have no excuse now! 🙂
ℹ️ Information: The Google Meet Hardware (GMH) auto check-in will only work if the event is created by someone within your domain. This is due to a limitation in the Meet API. Events created by users outside your domain will not trigger the automatic check-in.
How to set up Google Meet hardware check-in
You need to be an administrator on your Google Workspace tenant.
Connect to the Google Admin console

That's it, now Comeen is able to detect when your users are joining a Google Meet call from a Google Meet hardware and automatically check-in your meeting rooms.
