Configuring ReadOnly Permissions for Synchronized Meeting Rooms with Google

Integrating Comeen with Google for meeting room management usually involves comprehensive permissions to facilitate full operational capabilities.

However, organizations with specific considerations may choose a read-only configuration, which allows access to view resources and events without enabling changes.

Required Scopes for ReadOnly Synchronization

For organizations choosing read-only synchronization, the following OAuth scopes are requested:

  1. View Calendar Resources on Your Domain: This scope provides the ability to access and view calendar resources, such as meeting rooms, within your domain without modification capabilities.

  2. View Events on All Your Calendars: This scope enables the application to read events across all calendars associated with your domain without the ability to edit or create new events.

Functional Limitations with ReadOnly Permissions

Opting for read-only permissions reflects a focus on visibility rather than interaction. Here are the primary limitations:

  • Room Reservations: Users cannot book, alter, or cancel reservations for meeting rooms. Any action requiring changes to the meeting room status is restricted.

  • Event Management: With read-only access, users cannot create or modify events. This includes actions such as extending, shortening, or ending meetings.

  • Notifications: The system cannot send notifications related to room releases or booking confirmations, as these require write access.

Setting Up ReadOnly Permissions

To configure read-only permissions, follow these steps:

  1. Navigate to the Integrations section in your Comeen Admin dashboard.

  2. Select Google Workspace.

  3. Locate Meeting Rooms from the options available and click on Sign in with Google or add another account by selecting Add Account.

  4. Tick the Read Only box to establish the desired permission level.

  5. Proceed to Sign in with Google.

  6. In the Google sign-in pop-up, click Allow to grant the necessary read-only access.

This setup ensures that your organization maintains visibility over meeting room usage and event schedules while adhering to specific security protocols.
