Bulk desk booking

Introduction

The Bulk desk booking feature allows administrators to book desks for multiple users at once.

Instead of creating individual bookings for each employee, this feature lets you book desks to several people in a single action. This is especially useful for:

  • Team office days

  • Training sessions

  • Company events

  • Team collaboration days

Prerequisites

Before creating bulk desk bookings, make sure that:

  • Desk booking is enabled in your space

  • Your buildings, floors, and areas are already configured

  • Desks are available on the selected building

  • You have prepared a CSV file containing the IDs of the desks you want to book and the email addresses of the users

Create bulk desk bookings

Bulk desk booking allows you to book desks for multiple users at the same time.

How to create a bulk desk booking

  1. Go to the Admin dashboard

  2. Navigate to the Buildings section

  1. Click the building where you want to create the bulk desk booking

  2. Go to the Presence tab

  1. Click Bulk booking

  1. Select the booking date and click Next

  1. Click Upload CSV file and select your corresponding CSV file.

CSV format requirements

⚠️ The file must be in .CSV format and include a header row.

The header must contain the following column names exactly as written:

  • id - this column should contain the Desk ID

  • email - this column should contain the User Email

⚠️ Make sure the desk IDs match exactly those defined in the building.

If the CSV file does not follow these rules, an error message will indicate what is wrong in your file.

After uploading your CSV file, you will be able to review the list of bookings.

Click Create booking to confirm.

The system will then create desk bookings for the users listed in the file.

View bulk bookings

Once the booking is created, you can view the list of bulk bookings.
