Display the availability of your meeting rooms

Introduction

At Comeen, we give you the possibility to display your meeting rooms' information in different signage formats, which you can broadcast on screens in your building. Thus, everyone at the office can easily see the availability of the meeting rooms, which facilitates and optimizes the usage of the meeting rooms.

Benefits

  • Smartly display all your rooms on an intuitive display, making it easy for employees to see which rooms are available, occupied, or soon to be occupied.

  • Easily broadcast the signage on selected screens in key locations, ensuring employees can find the information they need right when they need it.

  • Key information. The dashboard provides essential details, such as:

    • Room capacity

    • Room floor

    • Room status over a 6-hour rolling period

To set up your meeting rooms dashboard(s), you just need to follow a few steps.

Step 1: Meeting rooms synchronization

If you haven't done it yet, you need to synchronize your meeting rooms in Comeen Workplace.
- Google Workspace - Synchronize meeting rooms and their events
- Microsoft 365 - Synchronize meeting rooms and their events

Step 2: Create your meeting rooms dashboard

To do so, click on the Signage button in the menu on your left.
Then, click on the button + Create Signage at the top right.

You then have three options:

  • a dashboard showing meeting rooms availability (you see the availability and information of all the meeting rooms selected):​

  • a dashboard showing a meeting room's timeline (you see the schedule of the meeting rooms selected):

  • plan of your workspace (you see all the rooms/desks and their availability on the chosen floor):

If you set up signage showing meeting rooms' availabilities:

  1. Start by selecting the Availabilities option

  2. Give it a name and select the building in which the desired rooms are

  3. Select whether you want to display all of the rooms in this building, only specific floors, or only specific rooms

  4. Define the display options according to your needs

  5. Click on Create signage once you're done

If you set up signage showing meeting rooms' timeline:

  1. Start by selecting the Timeline option

  2. Then give it a name and select the building in which the rooms are

  3. Select whether you want to display all of the rooms in this building, only specific floors, or only specific rooms

  4. Define the display options according to your needs

  5. Define the meeting rooms and event optional content

  6. Click on Create signage once you're done

If you set up signage showing a floor plan of your building:

  1. Start by selecting the Plan option

  2. Then give it a name and select the building in which the rooms are.

  3. Select whether you want to display the Whole building and certain floors

  4. Define the viewing preferences options according to your needs

  5. Define the meeting rooms and desks options

  6. Click on Create signage once you're done

Step 3: Broadcasting the Link

After creating your signage, a link will be available to display it on your devices.

You can find it in the "Link" column of the Signage tab in Comeen's admin dashboard:

It allows you to broadcast the availability of your meeting rooms on digital signage screens throughout your office. By incorporating the link into a web content of your playlists, you can ensure that everyone in your organization is informed about room availability in real-time.
