How to enable our Chat Agent feature

Our Chat Agent is an AI-powered assistant available directly in our apps. It allows users to book desks and meeting rooms using simple messages, without opening MyComeen.

The Chat Agent is configured at the Space / User Group level and works with both Google Chat and Microsoft Teams.


What is the Chat Agent?

The Chat Agent is an AI assistant embedded in our app that understands natural language requests. It helps employees quickly:

  • Book a desk

  • Book a meeting room

  • Find available spaces

All bookings are automatically adapted to:

  • The user’s permissions

  • Their team or user group

  • Their preferences (when available)


Supported chat tools

The Chat Agent is embedded directly in the Comeen app once it has been activated by an administrator.

It works with:

  • Google Chat (via the Comeen Google Chat app)

  • Microsoft Teams (via the Comeen Microsoft Teams app)

Users interact with the agent exactly like they would with a colleague: by sending a message.


What can users do with the Chat Agent?

With a simple message, users can:

  • Book a desk for today or a future date

  • Book a meeting room for a specific time

  • Ask for availability based on their needs

Examples of user messages

  • “Book me a desk for tomorrow”

  • “I need a meeting room for 4 people this afternoon”

  • “Book a desk near my team on Thursday”

  • “Find a meeting room with a screen at 2pm”

The Chat Agent interprets the request and completes the booking automatically when possible, or asks for clarification if needed.


How the Chat Agent adapts to users

The Chat Agent is context-aware. It takes into account:

  • The user’s space access

  • Their user group or team

  • Booking rules defined in Comeen

  • Available resources in the selected space

This ensures that every booking follows your company’s workspace policies.


Where is the Chat Agent configured?

The Chat Agent is activated and managed from the Comeen Workplace Admin Dashboard.

It is configured at the Space / User Group level, allowing administrators to:

  • Enable or disable the Chat Agent per space or user group

  • Control which users can access the feature

  • Ensure bookings follow space-specific rules and policies


How to enable the Chat Agent (Admin)

The Chat Agent can be enabled either for an entire space or for a specific user group.

Enable the Chat Agent for a whole space

  1. Open the Comeen Workplace Admin Dashboard

  2. Go to Settings > Spaces

  3. Enable the Chat Agent feature

  4. Save your changes

All users with access to this space will be able to use the Chat Agent in the Comeen app in Google Chat or Microsoft Teams.

Enable the Chat Agent for a specific user group

  1. Open the Comeen Workplace Admin Dashboard

  2. Go to User > Groups

  3. Select the user group you want to configure and go to Manage

  4. Under General, enable the Chat Agent feature

  5. Save your changes

Only users belonging to this user group will be able to use the Chat Agent in the Comeen app in Google Chat or Microsoft Teams.
