Getting started - When using our app for the first time
Our application for Gmail chat can be found in the Chat section of your Gmail, as illustrated below.
Optional step (only if our Gmail chat app is not already deployed by a Google administrator)
To begin with, if the chat app Comeen Workplace is not already available in your chat list, you can add it for yourself (as long as it has been authorized prior to this by an administrator of the Google console).
From Gmail Chat section, click on New chat
You will then receive your first message:

Plan a day at the office
Book a desk directly from our chat app
One of our functionalities is based on generative AI and allows users to send simple commands such as "book a desk for me" or even "book a desk for me next Monday". Then, users receive a notification from which they can confirm this reservation demand and even change its settings.
🏕️ Out of office :
Inform your colleagues and administration that you're not working on this day
To do so, type in the text bar the command /schedule
Select the command and press enter
This makes appear your schedule for the next week
You then just have to click on the work activity Out of office for the wanted day
This will update your schedule
🏠 Remote work :
Inform your colleagues and administration that you're working from home this day
To do so, type in the text bar the command /schedule
Select the command and press enter
This makes appear your schedule for the next week
You then just have to click on the work activity Remote work for the wanted day
This will update your schedule
🗺️ Other :
Inform your colleagues and administration that you're working from another place than the office or home (at customers', at an event, etc)
To do so, type in the text bar the command /schedule
Select the command and press enter
This makes appear your schedule for the next week
You then just have to click on the work activity Other for the wanted day
This will update your schedule
Improve your reservation experience

Confirm your reservation
Users receive a reminder message to check-in every day they plan to come to the office.
If they change their mind and don't want to check-in, they can still modify their work activity by clicking on Working remotely or Out of office.
Besides, users can modify their reservation of the day at any time by typing the command /checkin in the message bar of our chat app. This will make the check-in notification appear. Then, they can switch from one work activity to another.

Schedule your next week
Users receive a notification on Friday afternoon to consult their schedule for the next week.
If needed, they can still update their next week schedule by clicking on another work activity.
They can also modify their next week schedule at any moment with the command /schedule and change their work activity for any day. This will make the schedule notification appear.
Then they can change the current status for any day of their next week

If you use our Google Working Location integration, you will also be notified via our Gmail chat app
If you planned in your Calendar to be at the office on a specific date, this will update your schedule in Comeen Workplace and you will be notified via our Gmail chat app as shown below.
If the location selected is already full, a notification will inform the user of it and will adapt their working location status.

If a manager or an admin creates a reservation for other users, or that they have to cancel a reservation, users concerned by this change will be notified via our Gmail chat app
Teammates information
Users can see which of their colleagues made a reservation for the current day
Among the commands people can use in our Gmail chat app, there's /teammates that results in sending them the list of their teammates that are at the office on this day.
Meeting rooms reservations notifications

Get additional and interactive notifications for your meeting rooms reservations via our Gmail chat app
If you are the organizer of the meeting or the person who added the room to the event, you will be notified before and after the start of the event.
We don't change the way you book your meeting rooms, we just improve it!
The notifications received allow the user to confirm or decline the use of the meeting room.
If the automatic release feature is activated, people will also be notified when their reservation is canceled.

Receive a daily summary for all the events you organized using a meeting room
Thus, you can directly confirm or decline the meeting room at the beginning of the day.

Automatic release of your empty recurring meetings
If a meeting room hasn't been confirmed for X number of times, it's simply removed from the event altogether.
On the administrator side, all you have to do is activate the automatic release of meeting rooms:
- Choose how long it takes for the organizer to receive a notification to confirm that the room has been released.
- If you want to activate (or not) the option for the room to be released then by default
- Choose the number of missed confirmations before the meeting room is removed from the event
On the user side : if you're the meeting organizer, every time you have a meeting with a room, you'll receive a message asking you to confirm the room. It will be released automatically if you don't reply.
And if you don't reply X times in a row, you'll see the room(s) removed from your event.
Visitors management notifications
Users will receive a notification when their guests arrive at the office
After a visitor declares their arrival by registering themselves at the entrance of the office, the employee waiting for them gets a notification presenting which visitor has arrived, where they are waiting and the reason of their visit.
